Maintenance in SocietyPro

Overview

The Maintenance Module in SocietyPro is designed to efficiently track and manage monthly maintenance expenses. It provides a streamlined process for adding, viewing, filtering, and exporting maintenance records, ensuring transparency in financial transactions. Users can easily differentiate between published and draft records for better control over maintenance costs.


1. Adding a Maintenance Record

To add a new maintenance entry:

  1. Click the "Add" button located at the top-right corner.
  2. Fill in the required details:
    • Year – Select the applicable year.
    • Month – Choose the month for which maintenance is recorded.
    • Total Additional Cost – Enter the total maintenance cost incurred.
    • Status– Choose between:
      • Published – Finalized and visible.
      • Draft – Work in progress.
  3. Click Save to confirm or Cancel to discard the entry.

2. Viewing Maintenance Records

Users can view all recorded maintenance details in a tabular format, displaying:

  • Year
  • Month
  • Total Additional Cost
  • Status (Published/Draft)
  • Actions

To view a specific maintenance record:

  1. Click the three-dot menu (⋮) under the Action column.
  2. Select "View" to open and review the details.

3. Searching and Filtering Maintenance Data

The system allows users to quickly find specific maintenance records:

  • Search Bar – Enter the Year, Month, or Status to locate records instantly.
  • Filters – Click the Filters button to refine the displayed results based on specific parameters.

4. Understanding Maintenance Status

Each maintenance entry is assigned a status to indicate its processing stage:

  • Published – The record is finalized and visible for reference.
  • Draft – The record is still in progress and not yet finalized.

5. Exporting Maintenance Data

For reporting or record-keeping, users can export maintenance records:

  • Click the "Export" button at the top-right corner.
  • Choose the EXCEL format .
